Rental Return Assessment Coordinator (Apache Junction)

Position Status: Full Time (40 hrs week) 

Pay Range: $44,460.00  -  $75,140 

 

Job Summary:

Coordinate the Rental Return Customer Damage and Tire  process for the Empire Rental Department.  Responsible for coordinating the damage reports from all stores, preparing the damage/wear reports to the customer, providing repair/wear estimates to the customer and invoicing the customer. Position will have direct contact with customers and Internal Sales force.  Will be responsible for monitoring the quality, quantity and dollar expense of this process.

Essential Functions:

  1. Receives customer damage and tire damage information from rental stores.
  2. Prepares customer damage and tire damage reports and estimates for customer and communicates to customer.
  3. Invoices customer for damage within established timeline.
  4. Maintain comprehensive historical records to be provided to our customers when required.
  5. Ensures proper support and training is provided to Branch Stores and new employees for technology and processes.
  6. Provides consultation to Management on Customer Damage and Tire Wear/Damage issues.
  7. Analyzes monthly Cognos financial statements to review expense and recoveries from this process.
  8. Provides monthly recap of financial and process Key Indicators to management and operations.
  9. Ensures that customer service standards are delivered to all customers (external and internal).
  10. Continually looks for technology, systems, and processes to improve efficiency.
  11. Ensures customer invoice disputes are resolved promptly, and that they are not elevated to the Director level.
  12. Do onsite customer visits with Rental account managers and account managers to maintain customer relations.
  13. Works safely at all times.  Adheres to all applicable safety policies.  Complies with all company policies, procedures, and standards.
  14. Maintains outstanding customer relations.  Sets a proper example of good customer relations, inter-company cooperation, and neat personal appearance.
  15. Participates in Rental Department Strategic planning sessions to prepare for future operations and growth.      
  16. Must accomplish training and serve as a Green Belt in support of Empire's Six Sigma program.
  17. Works within and promotes corporate values.

Additional Responsibilities:

Must have in-depth knowledge of products EMPIRE sells and services, and be able to complete Rental agreements, Credit Memos, and all other Rental Department related documents.

Working knowledge of all Rental Department procedures and policies including inventory control knowledge.

Experience with computer system tools; which may include Cognos, Rental Systems, Inventory Control Systems, and spreadsheets.

Must be knowledgeable about heavy equipment industry, customers, characteristics and the requirements of meeting their needs.

Knowledge Skills and Abilities:

  1. Must have interpersonal skills sufficient to work cooperatively with people, and to effectively motivate and appraise employee performance.
  2. Must have in-depth knowledge of products EMPIRE sells and services, and be able to complete Rental agreements, Credit Memos, and all other Rental Department related documents.
  3. Must have planning skills sufficient to forecast department requirements and effectively produce department objectives.
  4. Working knowledge of all Rental Department procedures and policies including inventory control knowledge.
  5. Must be knowledgeable about heavy equipment industry, customers, characteristics and the requirements of meeting their needs.
  6. Must have sufficient systems knowledge to be able to maintain and develop reporting to provide management with information.
  7. Must have organization skills sufficient to complete work assignments on schedule.
  8. Must have mathematical skills sufficient to perform common calculations quickly and accurately.   
  9. Ability to maintain consistent attendance.

Education and Experience:

  1. Proof of high school diploma or General Education Degree (GED).
  2. Experience with computer system tools; which may include Cognos, Rental Systems, Inventory Control Systems, and spreadsheets.
  3. Minimum 2 years experience with Empire Rental.
  4. Must be able to communicate (speak, read, comprehend, write) in English.
